Join Your Data Playbook (YDP) as an Executive Assistant to the CEO, where you’ll play a key role in streamlining executive operations, handling high-level administrative tasks, and ensuring effective communication and scheduling. You’ll be instrumental in maintaining the CEO's productivity by managing their calendar, prioritizing tasks, coordinating meetings, and handling both professional and personal matters with precision and discretion. What You'll Do:
- Communication: Manage and prioritize all communication channels, including email and social media, ensuring timely, accurate responses and acting as the primary contact for the CEO with internal and external stakeholders.
- Calendar & Time Management: Optimize the CEO's calendar by scheduling essential meetings, appointments, and travel, continuously assessing and prioritizing tasks to align with strategic goals and ensure a balanced, efficient schedule.
- Relationship Management: Oversee contacts and networking opportunities aligned with business priorities, supporting fundraising and investor relations through material preparation and high-level communications to drive company growth.
- Confidentiality & Personal Assistance: Safeguard sensitive information, maintaining privacy and security at all times. Handle personal matters for the CEO, including appointments, family-related activities, and other confidential tasks as needed.
- Project & Event Management: Coordinate with teams to ensure timely task delivery, support strategic relationships with investors, partners, and customers, assist with fundraising efforts, plan and organize events, and track key projects to keep the CEO informed on progress and deadlines.
- Financial Oversight: Track and manage expenses and budgets related to the CEO’s activities and office, ensuring accuracy and cost-effectiveness.
- Research & Reporting: Conduct research to support special projects, potential hires, partnerships, and business opportunities, providing relevant insights for decision-making. Provide quick summaries and metrics updates on key projects to keep the CEO aligned on progress.
- Document & Meeting Preparation: Draft, edit, and organize polished documents, presentations, and reports; prepare meeting agendas and briefing materials to ensure the CEO is fully informed and ready for each engagement.
- Process Improvement & Problem-Solving: Identify and implement workflow improvements to enhance efficiency in daily operations. Proactively anticipate and resolve potential issues to maintain smooth and uninterrupted operations.
Must-Haves in a Candidate:
- Proven experience in administrative support, ideally reporting to senior executives in a fast-paced, growth-oriented environment.
- High proficiency in Google G-Suite Apps, PowerPoint, Canva, Airtable, Notion, Slack, Excel, and QuickBooks.
- Excellent written and verbal communication skills, with attention to detail and professionalism in all interactions.
- Strong organizational and planning skills with the ability to multitask and prioritize daily workload.
- High level of discretion and integrity in handling confidential information.
- Ability to adapt to a dynamic environment with a positive, can-do attitude.
- Bachelor's degree in Business Administration or a related field preferred, with a background in Project Management or Industrial Engineering as a plus.
